How long an Italy student visa really takes from India — and why refreshing your email will not help

Every August, thousands of Indian students refresh the same three tabs — VFS tracking, their email, and Universitaly — several times an hour, for weeks. The waiting is genuinely hard, and most of it is made worse by not knowing what the official timeline actually is. So here it is, from the consulates themselves, along with the one requirement most applicants have not been told about.

The official answer depends on your consulate

The 90-day figure that circulates in every student group is real, but it is not a national rule — it is what two of India's four Italian missions publish. The Consulate General of Italy in Bengaluru states that processing of long-term (type D) visa applications can take up to 90 days from the day they are received by the Consulate General, and the same figure appears on the Bengaluru and Kolkata study-visa checklists, which add a direct request: schedule your travel accordingly, and refrain from contacting the Consulate to ask for faster processing, to the detriment of those who applied earlier. New Delhi publishes something different, and Mumbai publishes nothing at all. Find your own mission below before you plan around any number.

The mandatory video interview nobody mentions

This is the single most important thing on this page, because a widely held belief among applicants is wrong. Student groups routinely say that some consulates interview and others do not, and that Bengaluru applicants in particular are safe. Both the Bengaluru and the Mumbai consulates state the same sentence on their Study in Italy pages: all students will be required to attend a mandatory video interview upon submitting their visa application. Two missions, word for word, in public, right now.

Plan for an interview. If you have been told your consulate does not conduct them, that information is out of date or was never true. The visa checklist separately warns that the Consulate can extend the processing time in order to request a personal interview and/or additional documentation — so an interview is both a standard step and a reason a file takes longer.

Why some consulates are slower than others

Applicants compare notes across cities constantly and conclude that one mission is punishing them. The published figures do differ, but not in the way the comparisons assume. The Embassy in New Delhi states that decisions on C visas are generally reached within 15 calendar days, adding that some cases might take longer due to special circumstances, and that processing times for D visas are on average longer given the very accurate and thorough examination required and the high volume of requests. That 15-day figure is for a different visa type — it is not a promise that a Delhi student visa arrives in a fortnight, and it is regularly misread as one.

The honest position is that no Italian mission in India publishes an average processing time for a student visa. The only official commitments are the 90-day upper bound and Delhi's statement about C visas. Anything else you have read — that files are decided strictly in submission order, that decisions are released in weekly batches, that a nearer flight date moves you up the queue — is not published by any mission. We are not going to repeat it as if it were.

What genuinely cannot be sped up

• Emailing the consulate to ask for expedited processing. The Bengaluru and Kolkata checklists explicitly ask you not to, and say doing so is to the detriment of applicants who applied earlier.
• Your flight booking. The Bengaluru checklist requires a one-way ticket reservation whose PNR will be verified, and asks for funds on top of the minimum financial proof. It is a document requirement, not a lever — and no mission states that an earlier travel date produces an earlier decision.
• Applying at a different consulate. Your student visa goes to the mission whose jurisdiction covers where you live, and if your passport address sits outside that jurisdiction you must prove six months of residence inside it. You cannot shop for a faster mission.
• A consultant. The Bengaluru consulate states that it strongly discourages the involvement of agents and agencies in the visa application process, and requires you to book your appointment using your own email address and phone number.

There is exactly one thing that is in your control: if the mission asks for an additional document, turn it around the same day. That is the only stage where your speed affects the outcome.

The deadline that is easy to miss

Bengaluru and Kolkata both set the same hard cut-offs, in near-identical wording: study visa applications for Bachelor (Laurea Triennale) and Master's (Laurea Magistrale) enrolment will not be accepted after 30 November 2026 for the 2026/27 intake, and after 31 October 2027 for the 2027/28 intake. Bengaluru adds that those deadlines do not apply to PhDs, specialisation courses, Erasmus programmes, individual courses or foundational courses.

Two things worth knowing while you wait

First, on fraud. The Bengaluru consulate publishes a warning that noreply.universita.it@gmail.com and noreply.universit.it@gmail.com are not official Consulate addresses. Its only official visa address is bangalore.visa@esteri.it. Kolkata publishes kolkata.visti@esteri.it and New Delhi publishes visti.newdelhi@esteri.it. We did not find a published visa address for Mumbai, so if you are applying through Mumbai, verify any address against the consulate's own site before replying to it. A Gmail address is never an Italian mission. If a message about your application arrives from one, treat it as an attempt to defraud you.

Second, on what the wait means. The Bengaluru checklist closes with a sentence worth reading before you apply: applicants have no legal right to be issued a visa, but a legitimate interest in having their application processed in compliance with Italian law and the Schengen regulations, and the consular authorities have no obligation to compensate for financial loss or moral prejudice resulting from processing. That is a blunt statement of your position, and it is the reason we advise against non-refundable bookings.
